Consigning paper records to history at Liverpool University Hospitals

The development of a new hospital site – with, very intentionally, no room for storage of paper records – gave Liverpool University Hospitals NHS Foundation Trust a clear and pressing need to go digital. But there were of course other reasons to be determined to ditch traditional records.

“Before the project, paper records were stored at multiple physical locations, some off site,” explains Phil Clow, head of health and social care at Fortrus – the strategic partner with which the trust has partnered to help make paperfree a reality.

“The handling processes were inefficient, labour intensive and prone to retrieval and misfiling errors, with paper records often stuck in a single location.”

This has been addressed through a managed service contract with Fortrus, with a content capture and classification solution provided by Ephesoft. The software uses machine learning to classify, separate and sort information without the need for human intervention. Structured data is extracted automatically and any information which needs checking by a staff member clearly flagged.

Staff at the trust worked closely with the Fortrus team and their eco-system of suppliers on the project – delivering this as a fully managed service with excellent project managers and clear communication this afforded being credited as a major reason for success.

“Undertaking a digital transformation project on this scale, in a constantly changing environment and without compromising patient care, is no easy task,” says Johnathan Lofthouse, improvement director at Liverpool University Hospitals NHS Foundation Trust.

“Strong leadership and regular communication with the project stakeholders keep the Fortrus team regularly informed and up to date on our strategy and plans to ensure success. The outcomes were not only beneficial internally to hospital staff, but will improve the overall patient experience and quality of data and records.”
